Proactive Intensive
Master Scheduling & Position Control
Bring the people who build the schedule together with the people who authorize and fund the positions.
A working session for school, Human Resources, and Business Services leaders who need to understand how staffing decisions show up in the master schedule and how those decisions connect to position control.
What we'll do together
Follow staffing from enrollment and section decisions through teacher assignments, release time, and FTE — then make sure the master schedule and position control match.
We use the district's own staffing process and focus on the questions HR, Business Services, and school leaders need answered before positions are finalized.
The Issue
A master schedule is more than a list of classes.
It shows how a school is actually using its staffing.
HR may see authorized positions. Business Services may see FTE and dollars. The school sees sections, teacher assignments, release periods, vacancies, and the choices needed to make the schedule work. Before staffing is finalized, those three views need to match.
How do we make sure the master schedule, staffing decisions, and position control tell the same story?
What we'll work through
- Reading one school's master schedule and seeing where the FTE is actually being used.
- Following the numbers from enrollment and staffing allocation to sections, assignments, and FTE.
- Looking for release time, small sections, partial assignments, vacancies, overloads, and other staffing choices that may not be obvious in position control.
- Reconciling the master schedule with HR and Business Services records.
- Naming the school and district priorities the schedule is supposed to support — and checking whether the staffing actually supports them.
- Deciding what still needs to be explained, verified, or corrected before staffing is finalized.

Sample Master Schedule & Staffing Review
The numbers are the starting point. The next step is understanding why the schedule was built this way, what the school is trying to protect, and whether the staffing supports those priorities.

The Why Behind the Numbers
What is driving the plan?
What changed? Look at enrollment, student needs, program requirements, contractual requirements, vacancies, and other constraints.
What are the priorities?
What are we trying to protect or make possible for students? Where can we actually see those priorities in the schedule and staffing numbers?
What is the message?
How will we explain the staffing choices and tradeoffs to the Board, staff, families, and community — especially the impact on students?
The Intensive Experience
Get the right people at the table and work through the staffing together.
Read + Reconcile
Half-Day Intensive
Best for teams that need to read the master schedule together and make sure it matches staffing and position control.
- Establish a shared vocabulary
- Trace FTE from allocation to assignment
- Review a sample or district schedule
- Connect staffing choices to stated priorities
- Set a common review process
Read + Reconcile + Apply
Full-Day Intensive
Adds time to work through actual schedules, resolve questions, and agree on what happens before staffing is finalized.
- All half-day work, plus deeper application
- Work through actual school schedules
- Trace release time, vacancies, and unusual assignments
- Reconcile HR and Business records
